Executive summary
What an AI voice agent actually does in a law firm, which providers operate in Spain, what they cost, and the results they have produced in real practices.
An AI voice agent answers the firm's phone around the clock, picks up in under a second and lets no call go unanswered. IACall starts at €99 a month, with plans that scale with call volume. It answers in Spanish — both Iberian and Latin American — with native Catalan and Galician, plus English, French and German, and can switch language mid-call. In real firms it has freed between 4 and 8 hours a day.
78% of professionals in Spain now use artificial intelligence regularly, and law firms are pointing it at the place where it hurts most: the phone. AI voice agents do more than pick up. They capture why the person is calling, book the appointment, filter out what is not a client, and leave the team the work that actually requires a lawyer. This article covers what one of these agents does, which providers operate in Spain, what they cost, and what they have delivered in firms already using them.
Key takeaways
The missed call disappears
The agent picks up in under a second and handles several calls at once, including outside office hours.
Genuinely multilingual
Iberian and Latin American Spanish, native Catalan and Galician, Basque through an alternative route, plus English, French and German. It can switch language mid-conversation.
Cost known upfront
From €99 a month, against the €600-900 of a virtual secretary or a part-time receptionist.
Hours recovered
In firms that have deployed it, between 4 and 8 hours a day previously spent answering and routing calls.
What is an AI voice agent for a law firm?
It is an assistant that answers the firm's phone in a natural voice, understands what the caller wants and acts on it: books an appointment, captures the details of the matter, answers what is already documented, or transfers the call to the right person. It runs 24 hours a day, 7 days a week — precisely when a small firm has nobody on the phone and a prospective client dials the next number on their list.
What it actually does
It picks up in under a second. It identifies whether the caller is an existing client or someone new. It captures name, phone number, the nature of the matter and its urgency. It offers open slots in the diary and books the appointment. When the matter is not for the AI, it transfers the call with the context already gathered, so the lawyer does not start from zero. And it leaves a written record of every conversation, which is where many firms discover what their clients are actually asking. It also books appointments and sends reminders automatically.
How it differs from an IVR phone system
A traditional phone system forces the caller through a menu: press 1 for enquiries, press 2 for appointments. The voice agent holds a natural conversation in Spanish, with no menus and no waiting, and resolves within the call what an IVR merely routed. The difference shows most with first-time callers who do not know how the firm is organised.
Advantages of conversational AI in the legal sector
Operational efficiency
The admin work around the phone — taking the message, noting the detail, finding the slot, calling back — leaves the team's desk. In firms that have deployed it, that means several hours a day returned to billable work.
Client satisfaction
An immediate answer changes how the firm is perceived, particularly on a first call. Nobody hears an endless ring tone or leaves a message on an answering machine. And after-hours calls, previously lost, come through all the same.
“Implementing an AI to handle calls has been a success. Clients believe it is a real person and the answers keep improving. A win for my company.”
What the options are in Spain
The Spanish market runs from very simple call-handling services to platforms a technical team builds from scratch. It is worth telling them apart before comparing prices, because they do not compete on the same terms.
Managed service or developer platform
IACall is a managed service working specifically with law firms, accountancy practices, property managers and estate agents in Spain. Its strengths are multilingual coverage including Spain's co-official languages, and the fact that it trains the agent before switching it on. At the other end sit developer platforms: enormously flexible, but they require someone to build and maintain them, and most operate primarily in English.
Customisation and scalability
The useful question is not how many features the platform has, but who configures the agent and who maintains it when the firm changes a procedure. On a developer tool, that work belongs to the firm. On a managed service, to the provider. That is the real difference between the two halves of the table below.
Feature comparison
| Feature | Managed service (IACall) | Developer platform |
|---|---|---|
| Languages | ES (Iberian and LatAm), CA, GL, EU, EN, FR, DE | primarily English |
| Setup | done by the provider | done by the customer |
| Maintenance when something changes | the provider's job | the firm's job |
| 24/7 support | yes | depends on the provider |
Real cases in Spanish law firms
Cases de Dret
A boutique practice in Valencia that also handles property management. With IACall it reached a 95% call answer rate, freed 4 hours a day and cut response time to under 30 seconds, with 24/7 cover. Read the full case.
Garay y Ballester
A firm handling over 700 calls a month through the agent, with 8 hours a day freed and responses under 30 seconds. It is IACall's only client with independent validation: Rafael Antonio Garay has discussed the service on esRadio. Read the full case.
Technical requirements
What you need
Less than most people expect. A stable internet connection and little else: the agent lives in the cloud and requires no new phone system and no change to the firm's number, which is usually the first objection partners raise. The existing number stays and calls are forwarded.
Integration with the firm's software
IACall connects to management systems through an API. The integrations currently in production are FincasPlus and ADComunidad, both in property management. For legal case-management software, the connection is scoped case by case: ask the provider to confirm in writing what is already built and what would need building, before signing.
“Although the initial setup was complicated, the team supported us. The agent now answers outside office hours, making sure clients are properly looked after.”
Legal and ethical considerations
Data protection
A call to a law firm almost always contains special category data. The agent must comply with GDPR, encrypt recordings and transcripts, and host data in the European Union. Check where the server sits before signing, because not every provider keeps it in the EU.
Regulatory compliance
On top of the EU AI Act sits a professional duty specific to the sector: legal privilege. Two questions worth settling before deploying anything: whether callers are told they are speaking to an automated system, and how long recordings are retained.
Data security and privacy
Encryption and storage
Conversations are encrypted in transit and at rest. It is worth asking about the retention period and whether it is configurable, because a firm does not want to keep the audio of a consultation indefinitely.
Access controls
Permissions should be role-based, so that only authorised staff can reach the transcripts of a matter. It is the same standard already applied to the paper file.
Improve how your firm answers the phone
Verdict: for a Spanish firm of between 2 and 50 people losing calls out of hours or during hearings, an AI voice agent is currently the best ratio of cost to recovered work. IACall is the most direct option in the Spanish market for this profile, for three concrete reasons: it answers in the co-official languages, it configures the agent for you before switching it on, and it does not force you to change your phone number or your phone system. If the firm has its own technical team and works only in English, a developer platform may come out cheaper at the cost of maintaining it.
